Our policies

AI Privacy Policy

Our website has AI helpers that explain NDIS information in plain words. This policy explains how they work, what happens to what you type, and the limits of AI.

In this document, “Nova Cares”, “we” and “us” mean Ausfr8 Group Pty Ltd trading as Nova Care Health Group, registered NDIS providers.

Which AI tools we use

  • NDIS help assistant — answers general questions about the NDIS and our services.
  • Plan explainer — explains parts of an NDIS plan you paste in.
  • Easy Read converter — rewrites text into simple Easy Read language.
  • Support finder — suggests types of support based on a few answers.
  • Referral draft writer and care note writer — help write drafts that a person checks before sending or saving.

What happens to what you type

  • Your words are sent securely to an AI model (Google Gemini, through our technology provider) only to create the answer.
  • We do not save your AI conversations, plan text or Easy Read requests in our systems. When you close or refresh the page, they are gone.
  • Your words are not used by us to train AI models, and are not used for marketing.
  • Only text you choose to submit afterwards — for example a referral — is stored, under our Privacy Policy.

Please protect your privacy

Do not type full names, NDIS numbers, dates of birth, addresses, Medicare numbers or detailed medical information into the AI helpers. General descriptions work just as well. You can use every AI helper without signing in.

Limits of AI

  • AI can make mistakes. Its answers are general information, not NDIS, medical, legal or financial advice.
  • AI never makes decisions about you — it cannot approve funding, services, staff or eligibility. Only people at Nova Cares and the NDIA make decisions.
  • Anything written by AI is reviewed by a person before it is used in your care.
  • For official information, check ndis.gov.au or call the NDIS on 1800 800 110.

Your choices

Using AI is always optional. You can call or SMS us 24/7 on 0480 068 362 and talk to a person instead. Concerns about AI can be raised through our complaints form.
